Dear speakers,

As the conference time is fast approaching, I am sending this email on
behalf of the National Documentation Centre, the conference committee and
the MedOANet partners to provide you with a brief layout of how things
will unfold, and, most significantly, with information regarding the
sessions in which you participate.  You will also receive an email with
the practical information for the conference towards the end of this week.

Attached please find the program for your convenience in English and in
Greek.  The program is online at the website
www.openaccess.gr/conference2013 (English and Greek, in the respective
versions of the site). Attached as well is the English version of the
press release going out today, also to be found at the website of our
project www.medoanet.eu and the Greek press release, available later today
at www.ekt.gr. I kindly ask that you spread the word on the conference to
your professional and other networks through social media and in any way
you can in Europe and in Greece. You may use the already existing posts
from EKT or from MedOANet facebook as starting points.

Two organizational points to note on the conference:

*for those speakers arriving from abroad on the 16th of October, there is
a reception at the end of the first day of the conference (ie the ‘Greek
part’ of the conference), to which you are all invited after 18.00hrs (cf.
program). It will take place outside the auditorium at NHRF. The final
session of the first day is the ‘bridge’ between the first and second
halves of the conference and we look forward to welcoming all conference
participants there.

*on the 17th of October there is  a dinner for conference speakers and
MedOANet project partners at 20.00 hrs, on which you will receive
information and an RSVP request later in the week. This dinner does not
appear in the public program. Jot it in your schedules, and the
information will soon arrive your way!

The following information on the structure of the sessions concerns the
speakers, and not the keynote speakers, who, however, are also informed
here.

As you will be able to see for yourselves, the program is full and will
undoubtedly provide us with three days of exciting food for discussion and
for thought. To make the most out of our conference, we ask that we all
pay particular attention to the times allotted for the talks. Session
chairs will see that we strictly stick to schedule. We would like the
conference to be very interactive between presenters and the audience and
not to have very long talks.

Please pay attention to the following guidelines regarding your talks:
with the exception of keynote speeches, speakers for Wednesday and
Thursday 16 and 17/10 should not exceed ten (10) minutes in their
presentations. Speakers on Friday 18/10 should prepare fifteen (15) minute
talks.

Following your talks, the session chairs will lead a discussion to which
the audience will hopefully engage as well. The session chairs will
provide some thematic lines for the structuring of the discussion and
possibly also indicate some points that they would like to see included in
your talks. Please expect an email from your session chairs on this very
soon.

Instructions on where to deliver your powerpoints will be provided in the
email on the practical information later in the week.

I also take the opportunity to inform everyone that the conference will be
videotaped and broadcast live at: www.ekt.gr/events/live.   Videos of your
talks and your powerpoint presentations will be set up at the conference
website subsequent to the event and will be openly accessible to everyone.
We will assume that you have no objections to this, unless you notify us
otherwise in writing.

sessions there that will genuinely help advance the agenda on open access.
