As promised, find attached Terms and Conditions reviewed by our legal
department.



Pelagia, could you pass them to GSAC so they can upload them into their
Hackathon site?



Also, could you start translating them into Greek so we can have them ready
this week? We need to a notice on the Greek translation stating that it is
for convenience only and that the English version is the only official
version.



The Terms and Conditions will be also sent individually to each participant
informing them that by participating in the Hackathon they agree with them.

Hi everyone,

Irakli unfortunately the document you shared was for view only so I could
not edit it!

I have taken your changes and added a few more so I am attaching the final
version (all changes are with track changes so Israel, Iraklis and Pelagia
feel free to accept or reject accordingly before sending it to GSAC to be
uploaded in their website).

I am also attaching the Save the Date in Greek with some minor changes, as
discussed with Pelagia

Also, Israel once you finalise the terms and conditions I think it would
make sense to translate them in Greek as well.

Regarding the flyer we made some changes in collaboration with Pelagia so
we are going to use the last version (it is actually the one you sent us).

We are planning to send a second notification through our communication
channels (ideally I would like to send it on Tuesday, so it would be great
to have the concept note and the terms and conditions uploaded by then!)

Last but not least I wanted to inform you that we plan to release a call
for mentors who would be interested in participating in the hackathon, on
Monday.

One comment regarding the “Save the date” note. Could we delete the part
where it says “you can download the submission form here”? we think it
would be easier not to mention the submission form at this stage. Once we
get an e-mail from a potential participant we will answer back with the
submission form. What do you think?

I did some minor corrections. It is very good and comprehensive.

I agree with you that a link to a website, where more information will
appear soon is necessary.

What we need at this point are a domain or subdomain name and a landing
page.



I also got the phone number of the responsible for the restaurant I will
ask him if they can cover the meals and some extras, but he will then have
to talk with someone from the OECD for the financials. Pelagia, should I
give them your number?

Below I drafted next steps. From now onwards we will be in touch daily so
anything that shows up we can discuss it over e-mail, skype or phone.

1.      Despoina will be revise the Greek version of the concept note and
come up with a one page version of it for advertising the event. She will
share it with us for comments (hopefully tomorrow)



2.      Iraklis will find out from the catering company that manages the
restaurant at Harokopion University whether they can offer catering for the
event (lunch tickets plus catering such as coffee, finger food,
beberages…etc)



3.      Iraklis will come up with a draft timetable for the Hackathon (i.e.
arrival and leaving time, lunch time…etc.). On Saturday morning we will
start with a 30 minutes presentation of the Hackathon plus Q&A, Sunday
evening teams will have five minutes to present their proposals. After that
the judging panel (v.gr. representatives still TBD but probably from OECD,
GFOSS, Harokopion, GSAC…TBD)



4.      Israel/Pelagia will take care of the registration



5.      Israel will provide partners with a formal OECD letter for this
collaboration



6.      Israel/Pelagia will ask GSAC to announce the Hackaton in their site
and see if they want to be part of the judging panel.



7.      Despoina, Iraklis, Israel, Pelagia, Laura will advertise the event
through their own channels

call for participation (an announcement of the event) that we will

I would also like to propose to draft an agreement between the four
organisations that participate in this event, in order to have a framework
of understanding amongst us. You can find attached the equivalent agreement
we signed in 2014 for the "Open Public Data Hackathon 2014" (unfortunately

In order for us not to lose any more time, Israel when you have the concept

April. We are organizing a Public Integrity Forum in July and the idea is
to present the winner apps at the forum. For that we think we will need at
least three months to developed the app.

Dear Pelagia and Israel,

I am afraid your concerns are valid since if we want to keep the initial
dates for the Hackathon we do not have enough time to properly organise the
event.

At this point I think it would make more sense to think about organising it
in the first weekend of May (6th and 7th).

I believe that this will give enough time for the preparation and also give
almost 2 months for the developers to further develop their projects.

In order for everyone to be on the same page I propose a list of tasks that
we have to assign to everyone involved:

- Finalise the organisers and the dates of the event. This is already
decided. OECD will be organizing it with the support of GSAC, Harokopio
University and GFOSS

- Finalise the concept of the Hackathon. This is done. I can update the
concept note and have it ready by Monday.

- Prepare a first invitation for participants that we will have to
circulate to the media and social media. We are not doing invitations. We
will advertise it through GSAC, OECD, Harokopio and GFOSS channels.
Participants will have to register by sending an e-mail showing interest.

- Decide on the awards. This has been already decided. We will select three
winners and offer them the option to engage in a service contract to
develop their app. (The value of the contracts will be 2,000, 1,500 and
1,500). The winners will be announced at the end of the Hackathon. The
formal award ceremony will be done at the Public Integrity Forum held in
July.

- Find mentors for the hackathon. We can do this during March.

- Decide on the committee that will judge the projects. This is easy, it
could be a member from OECD (myself), GFOSS, GSAC..

- Decide if we want to have sponsors. We will not.

I hope this message finds you well. I am writing to give you an update on
current Hackathon activities.



Unfortunately, we were a bit delayed because of a misunderstanding
regarding the concept and size of the event. This is resolved now and we
are going back to our initial proposal to have a Hackathon addressed to
developpers and not expand the invitations to the public. The Hackathon
will then be followed by an awards ceremony.



We are worried, though, that we might not make it in time for the weekend
of 1-2 April 2017. Do you think that if we started advertising next week,
we could still make it or would it be best to postpone the event for May?
For us it would be ideal to do it in April, so that the participating
developpers will have more time to work on their project and present their
final porduct in July. But if this is not manageable, we would have to
adjust.
